Conference AV in Cairns, operated by technicians who run conferences every week
Cairns AV Hire provides complete, technician-operated audio visual production for conferences, conventions and corporate events in Cairns and across Far North Queensland. We supply and run the microphones, screens, comfort monitors, lighting, recording and hybrid links at the Cairns Convention Centre and at hotel and resort venues, with a crew in every room for every session.
Every conference we deliver is planned, rigged and operated by our own technicians from bump-in to bump-out. We do not dry hire equipment, so there is never a gap between the gear and the people who know how to run it.
Corporate event AV in Cairns that lets the programme run to time
Cairns is attracting more conferences every year, and conference organisers arriving from interstate need a local AV partner who already knows the rooms, the loading docks and the house systems. That is what we are. Mark has produced conferences, government conventions, forums, product launches and awards nights in Cairns for two decades, and he is usually the person standing at the desk when the plenary opens.
A conference is a long list of small technical moments that all have to land: the MC's first word, the keynote's first slide, the panel microphone that has to be live the instant the moderator turns, the sponsor video that plays with sound, the awards reveal that needs the lights, the screen and the music to hit together. We design the production around the running order, rehearse the transitions, and put an operator on every desk so each of those moments is somebody's job.
We are the audio visual company organisers call when they need one supplier for the plenary, the breakouts, the gala dinner and the stream, rather than three suppliers pointing at each other.

What we bring to a conference room
Microphones and audio
Lectern microphones, wireless handhelds and lapels for panels and MCs, audience Q&A microphones, a digital console mixed by an engineer, and a PA tuned so the back table understands every word. Delay speakers for long or wide rooms, and clean feeds to the recording and the stream.
Screens, projection and LED
Front or rear projection for standard rooms, seamless LED walls for plenaries and gala dinners, and side screens for wide rooms. We size the screen to the room depth so slides are readable from the last row, and we run 16:9 throughout so nothing is cropped.
Presenter support
A presentation laptop at the vision desk with all slides loaded and checked, comfort monitors on the stage floor so presenters see their notes and the next slide, a countdown timer to keep sessions to time, and a clicker that actually works from the lectern.
Vision switching and recording
A vision switcher for laptops, cameras and playback, operated so the screen always shows the right source. Session recording of programme audio and switched vision, delivered afterwards for your website, members or sponsors.
Stage lighting and set
Clean white key light so presenters look good on stage and on camera, a backdrop wash in your brand colour, lectern and panel lighting, and gala-dinner looks with uplighting and moving heads for awards reveals. Drapes, stage risers and a tidy cable run so the set looks finished.
Technicians in every room
An audio engineer and a vision operator in the plenary, a technician in each breakout, a production manager across the programme, and a streaming operator when remote delegates or presenters are involved. Rehearsals, speaker check-ins and room turnarounds are scheduled with your team.

Multi-day conferences, breakout rooms and hybrid delegates
Multi-day programmes are where planning shows. We build a room-by-room schedule from your programme: which sessions run where, when rooms turn over, when the plenary becomes a gala dinner and needs a lighting change, and when a keynote is presenting from interstate and needs a hybrid link. Each breakout gets its own audio, screen and technician so the plenary crew is never stretched across the building.
For hybrid conferences, remote presenters join through our live streaming and hybrid production with two-way audio and video, so they can see the room and take questions, and the sessions are streamed to delegates who could not travel. We keep the in-room and online experiences in sync, with the same slides, the same audio mix and a moderator feed for online questions.
When the last session ends, the room turnaround to an awards dinner or a sponsor function is handled by the same crew, with the lighting, screens and audio already in place.
Conference venues in Cairns and Far North Queensland
We produce conferences at the Cairns Convention Centre and at hotel and resort venues across Cairns, Palm Cove and Port Douglas, and we bring the same production to regional venues on the Atherton Tablelands and in Townsville. Working the same rooms repeatedly means we already know the rigging points, the house PA, the power locations, the loading dock hours and which ballroom needs delay speakers, so our planning starts from experience rather than a site visit.
For venues we have not worked in, Mark does a site visit before quoting, and for venues without adequate house systems we bring everything, including power distribution.
Government, council and association conferences
We have produced government conventions and forums in Cairns, including sessions with delegates joining from interstate, and we are used to the requirements that come with them: recorded proceedings, accessibility, tight running orders and protocol around ministers and elders. Council events, school and university conferences, industry associations and franchise groups all get the same production standard.

Gala dinners, awards nights and product launches
The evening function is where conference AV becomes event production. We handle the transition: the plenary screens become the awards backdrop, the lighting moves from clean white to a room wash in your sponsor's colour, a moving-head reveal hits with the music for each winner, and the MC's microphone is live for every name. Video walls carry sponsor loops and winner stings, and the audio engineer mixes the band or playback so the room can still talk between speeches.
Product launches get the same treatment with more emphasis on the reveal moment: timed lighting cues, a video wall that goes from black to the product in sync with the audio, and a stream so the launch reaches customers who are not in the room. Read more about how we produce these on the event production page, or see the sound, lighting and vision we bring to a ballroom.
If part of your audience is online, the same crew that runs the room runs the broadcast: our conference live streaming in Cairns is operated from the vision position, not bolted on afterwards.
Conference AV questions
What AV do you provide for a conference at the Cairns Convention Centre or a hotel venue?
Lectern and panel microphones, wireless handhelds and lapels, a digital console with an audio engineer, LED screens or projection sized to the room, comfort monitors and a countdown timer for presenters, a vision switcher for laptops and cameras, session recording, stage lighting and a technician in every room for every session. We work in the Cairns Convention Centre and in hotel and resort venues across Cairns, Palm Cove and Port Douglas.
Can you support a multi-day conference with breakout rooms?
Yes. Multi-day programmes with a plenary and several breakouts are the core of our conference work. Each room gets its own audio, screen and technician, the plenary gets the full switching and recording position, and we schedule rehearsals, speaker check-ins and room turnarounds around your programme so sessions start on time every day.
Do you handle remote presenters and hybrid delegates?
Yes. We bring remote presenters into the room through Zoom or Teams with two-way audio and video, so they can see the audience and take questions, and we stream the sessions out to delegates who cannot travel. Our live streaming crew runs this alongside the in-room production, with bonded 4G backup where the venue internet is unreliable.
Do presenters need to bring their own laptops and slides?
No. We run a presentation laptop at the vision desk with all slides loaded in advance, which is faster and safer than swapping laptops at the lectern. Presenters can still use their own machine if they need to, and we switch between sources cleanly. We ask for slides the day before so we can check fonts, video playback and aspect ratio.
Can you record the conference sessions?
Yes. We record programme audio and the switched vision of each session and deliver the files afterwards, ready for your website, members portal or sponsors. If you want a separate camera recording of the speaker without slides for editing later, tell us at the planning stage and we will add it to the vision position.
How many technicians will be on site for our conference?
It depends on the number of rooms and how much vision and streaming is involved. A single-room plenary typically has an audio engineer and a vision operator; a plenary with three breakouts and a stream adds a technician per breakout and a streaming operator. Mark sets the crew size in the quote and stays on site as production manager for the whole event.
Do you work alongside the venue’s in-house AV team?
Yes, regularly. Some venues require their own technician for house systems, rigging points or power, and we coordinate with them directly, so you deal with one person. We bring the production equipment and the operators, integrate with the house PA or screens where that makes sense, and take responsibility for the show in the room.
