Live streaming in Cairns for conferences, hybrid events and meetings
Cairns AV Hire produces multi-camera live streams and hybrid events in Cairns and across Far North Queensland. Our crew brings the cameras, vision switcher, programme audio and encoder, and connects remote presenters through Zoom or Teams. We stream to YouTube, Vimeo or a private link, record everything, and carry bonded 4G backup for venues where the internet cannot be trusted.
A stream is only as good as the person watching the encoder. Every Cairns AV Hire stream is operated by a technician for the whole event; we do not dry hire streaming equipment or leave a camera running unattended.
Event live streaming that holds for the whole programme
Streaming an event is not plugging a camera into a laptop. It is a small broadcast: cameras that follow the presenter, a switcher that cuts between the wide shot, the close-up and the slides, an audio mix that is separate from the room PA so online viewers hear the microphones and not the room echo, an encoder with enough upload to hold the bitrate, and a person watching all of it who can fix a dropped source before the audience notices.
That is what our streaming crew does, in the room, alongside the in-room production. The stream is switched from the same vision position as the screens, so online viewers see the same slides and the same camera shots the room sees, and the recording is captured locally as a clean master.
We stream conferences, AGMs, town halls, product launches, council meetings, awards nights, church services, memorials and community events across Cairns and Far North Queensland, and we bring the same setup to remote locations where the only connection is the one we carry.

What a Cairns AV Hire live stream includes
Cameras
Operated broadcast cameras for the stage and presenter, PTZ cameras for audience, panel and wide coverage, and a camera operator who follows the action rather than a fixed shot of an empty lectern. One camera for a small meeting, three or more for a plenary.
Vision switching and graphics
A vision switcher cutting between cameras, presentation slides and video playback, with lower-thirds for speaker names, holding slides between sessions, sponsor loops and a clean programme output to the stream, the recording and the room screens.
Programme audio
A dedicated broadcast mix from the microphones, not a camera microphone picking up the room. Mix-minus feeds for remote presenters so nobody hears themselves echo, and audio levels monitored by the engineer for the entire event.
Encoding and connectivity
A hardware encoder streaming to YouTube, Vimeo, Facebook, Zoom, Teams or a private player, with the venue connection tested in advance and a bonded 4G unit as primary or backup. We can send to two destinations at once.
Hybrid presenters and delegates
Remote presenters brought into the room through Zoom or Teams with two-way audio and video, briefed and managed by our technician. Online delegates get the programme feed and a moderated channel for questions that the MC can see.
Recording and delivery
A clean local recording of the full programme, independent of the platform, delivered within days. Separate camera-only recordings on request for editing. Files are yours; we keep nothing after delivery unless you ask.

Hybrid conference and Zoom or Teams event production
A hybrid event has two audiences, and both notice when they are treated as an afterthought. We produce the room and the online experience together: the same switched programme, the same audio mix, a moderator feed for online questions, and remote presenters who appear on the room screens as clearly as the person at the lectern. For board meetings, the CEO in Brisbane and the directors in the room can see and hear each other without anyone shouting at a laptop.
This is how we support multi-day conferences in Cairns with interstate keynotes and delegates who cannot travel, and how councils and associations run AGMs and forums with members across Far North Queensland. The streaming crew works from the same vision position as the conference production, so there is one plan and one point of contact.
Streaming from regional and remote Far North Queensland
Community events in Cooktown, Weipa, the Gulf and the Torres Strait often need to reach family and members who are hundreds of kilometres away. We plan for regional venues where the only connection is a single mobile signal, using a bonded 4G unit as the primary link and a fixed or satellite connection where one is available. Cameras, switcher, encoder and power all travel with the crew, packed for the road.
For outdoor festivals and ceremonies we also record locally as a master so the community has a clean copy regardless of what the connection did on the day. See how this fits with our festival and outdoor event production and the technical production behind larger events.

Live streaming questions
Which platforms can you live stream to from Cairns?
YouTube, Vimeo, Facebook, Zoom, Microsoft Teams, a private password-protected link, or your own website player. We encode from the vision desk in the room, so the same switched programme with clean audio goes to whichever platform you choose, and we can send to two platforms at once, for example a public YouTube stream and a private members link.
What happens if the venue internet is unreliable?
We carry a bonded 4G unit that combines several mobile connections into one stable upload, and we use it either as the primary link or as automatic backup to the venue connection. Before the event we test the venue network at the streaming position, and if it is not good enough we say so and plan around it rather than hoping.
Can remote presenters join a live event through Zoom or Teams?
Yes. Remote presenters join through Zoom or Teams and appear on the room screens with their slides, hear the room through a clean mix-minus feed with no echo, and take questions from the audience. We manage their connection, brief them beforehand, and have a technician watching the link for the whole session so the presenter only has to present.
How many cameras do you use for a live stream?
Most conference and event streams use two or three: a wide shot of the stage, a tight operated shot of the presenter, and often a PTZ camera on the audience or panel. Ceremonies and small meetings may only need one well-placed camera. We advise on camera count once we know the room, the programme and how the recording will be used afterwards.
Can you live stream a funeral, memorial or church service?
Yes, and we do it with care. A discreet camera and microphone setup, a private link for family who cannot travel, clean audio so eulogies and readings are heard clearly, and a recording delivered afterwards. Services are often arranged with a day or two of notice, so call Mark directly and he will make it work.
Do we receive a recording after the stream?
Yes. Every stream is recorded at the vision desk, independently of the platform, so you get a clean file of the full programme audio and switched vision even if the internet hiccups. Files are delivered within a few days, ready for your website, members portal, social channels or sponsors, and we can supply separate camera-only recordings if you plan to edit.
Need to stream or run a hybrid event in Cairns?
Tell Mark the platform, the audience, whether presenters are remote, and where the venue is. He will confirm cameras, crew and connectivity and send an itemised quote, usually within one business day.
