This policy details how we collect, store, use and safeguard your details when visiting our website or engaging our event production, live streaming or installation services.

2. Information we collect

We only gather personal data reasonably necessary to provide event production services and respond to project requests:

• Direct contact details: Name, business or organisation name, email address and telephone number submitted through our quote forms or direct correspondence.
• Event specifications: Venue location, dates, expected attendee numbers, technical requirements and programme details.
• Streaming and installation details: Streaming platform links or keys supplied for an event, and for installation work, site addresses, floor plans and building access details.
• Billing information: Business ABN, billing contact addresses and payment confirmation details necessary for commercial invoicing.

3. How we use collected information

Information provided to Cairns AV Hire is used solely for legitimate commercial functions:

• Preparing tailored audio visual quotes and scoping technical requirements.
• Coordinating bump-in, live technical operations and bump-out schedules with clients and venue operators.
• Issuing invoices, processing payments and maintaining compliance with Australian accounting standards.
• Direct communication regarding active bookings or urgent scheduling updates.

4. Website forms and spam protection

Quote requests submitted through this website are sent to us by email through a transactional email provider (Resend) and may also be stored in a secure database (Supabase, hosted in Sydney) so that we have a record of the enquiry. The form may use Cloudflare Turnstile to block automated spam; Turnstile processes limited technical information about your browser and does not track you across sites. This site uses Google Analytics to understand which pages are visited and how enquiries are made. Google Analytics sets cookies and collects usage data such as pages viewed, approximate location and device type; it does not collect the contents of forms. We do not use advertising cookies. You can opt out with the Google Analytics browser add-on or by blocking cookies for this site.

5. Production media and photography

We do not capture or publish commercially confidential corporate presentations, proprietary business slides or personal close-up photography without explicit consent. If an event or touring artist is subject to non-disclosure or image capture restrictions, written notice provided prior to load-in will be honoured in full.

Where we live stream or record an event on the Client's behalf, the recording belongs to the Client and is handled according to their instructions. Attendees and remote participants may be visible or audible in that recording; it is the Client's responsibility to notify participants. Platform credentials supplied to us are used only for the engagement and are not retained afterwards.

6. Disclosure of personal information

We do not sell or trade your contact or business information to anyone. We may disclose data only in the following limited situations:

• Operational contractors: Subcontracted audio or lighting engineers, riggers or logistics drivers directly assigned to deliver your event.
• Venue management: Providing contact details to security or venue facilities staff solely to obtain site loading access permits.
• Service providers: The email and database providers named above, solely to deliver and store your enquiry.
• Legal compliance: Where disclosure is required by law, regulatory authority or court order.

7. Data security and retention

We implement appropriate physical, electronic and managerial safeguards to protect your personal details from unauthorised access, loss, misuse or alteration. Data is retained only as long as necessary to fulfil commercial and legal taxation requirements, after which it is securely deleted or anonymised.
